This privacy statement applies to your membership with the Extensus Alumni Network (hereafter called: EAN). By signing up as a member of EAN you confirm that you understand and agree with this privacy statement.

Why does EAN process your personal data?
EAN will sometimes ask you for personal data. This data is of two kinds: contact information (including bank details) and data about your previous career steps. You are not obligated to provide any of this, yet this can have the consequence that EAN needs to cancel your membership (or membership request).
EAN processes this data in order to be able to set up a good alumni network for students that are graduating from, or have graduated from the Honours Programme at UvA, VU or AUC. EAN likes to have your contact information so that EAN can inform you about EAN related matters. Personal data such as your bank account is needed in order to withdraw your yearly contribution to EAN. EAN processes data about your previous career steps in order to be able to get an overview of EAN’s member base, so that EAN can adapt its events and communication to that. EAN will never process this personal data without your explicit permission and you can always retract your permission by sending an email to alumni@extensus.org.
Who can access your personal data?
EAN stores your data on a Google Drive. For this drive Google’s privacy policy applies. EAN will give EAN board members access to this drive. EAN will never store your data elsewhere, such as through copies on local machines.
EAN will never share your personal data with other third parties in an identifiable way. Sometimes EAN is supported by commercial parties. With these parties EAN can share aggregated information about its entire member base. An example of this would be what percentage of EAN members have completed a particular type of education. This type of information will never disclose any information that can lead directly to an individual.
Until when does EAN process your data?
EAN stores your data until your membership ends. You can end your membership at any time by simply sending an email to alumni@extensus.org in which you state that you want to cancel your membership. At the moment of deregistration EAN deletes all your personal data EAN has (apart from (email) conversations between you and EAN in the past).
You also have ‘the right to be forgotten’. If you wish to use this right, please send an email to alumni@extensus.org with this request. In this case EAN will delete all your personal information EAN has within a month after receiving the email. This will also mean that EAN has to cancel your membership.
As EAN member you have the right to:
– receive more information about how EAN processes your personal data,
– get insight in the personal data EAN processes about you,
– correct the personal data EAN processes about you if this is incorrect,
– limit the personal data EAN processes about you,
– object against the way EAN processes your personal data,
– transfer your personal data,
– object against automatic decision processes based on your personal data
Please send an email to alumni@extensus.org with your request. EAN will respond to your request within a month after receiving your email and will take the appropriate actions. Note that these actions can include that EAN needs to cancel your membership.
You can always file a complaint at the ‘Autoriteit Persoonsgegevens’ about the way EAN processes your personal data.
